There are thousands of AI tools out there and most of them will not move the needle. These are the five categories we rely on every day to build systems for clients across the UK and UAE, with the specific tools we rate in each.
1. An AI assistant for thinking and writing
Claude, ChatGPT or Gemini. The obvious one, but most businesses still underuse it. Beyond drafting emails, a good AI assistant can summarise long documents, turn meeting notes into proposals, rewrite your website copy, analyse a spreadsheet and help you think through a decision. Give it context about your business and it gets dramatically better.
2. A workflow automation platform
n8n, Make or Zapier. This is the glue that connects your tools. When a lead comes in, a workflow can enrich it, score it, add it to your CRM, message them and alert your team, all in seconds.
3. An AI voice agent
Retell AI, ElevenLabs or Vapi. If your phone rings, this is the tool with the fastest return. An AI voice agent answers every call, handles common questions, quotes from your prices and books appointments directly into your calendar. For one pest control client, answering every call contributed to an extra £20,000 in booked jobs in the first few months.
4. WhatsApp with an AI agent behind it
The official WhatsApp Business Platform. In the UAE and much of the world, customers would rather message than call. Connecting an AI agent to the official WhatsApp API means every enquiry gets an instant, natural reply, leads are qualified automatically, and only the serious ones reach your team. Using the official platform also keeps your number safe with approved templates and proper opt outs.
5. An AI meeting notetaker
Fathom, Fireflies or Otter. These record and transcribe your calls, then summarise them. The real power comes when you connect them to the rest of your stack. In our own business, every sales call transcript automatically becomes a drafted follow up email and a proposal outline, ready for review before we have even closed the call window.
Bonus: a proper database
Supabase or Airtable. Once you start automating, spreadsheets become a bottleneck. A real database gives your automations somewhere reliable to store leads, conversations and history, and makes custom dashboards possible.
Tools are only half the answer
The tools are getting cheaper and better every month. The value is in how you connect them to the way your business actually works. A voice agent that cannot see your calendar, or a WhatsApp bot that does not update your CRM, just creates new manual work.
